Responsibilities of the Database (Back Office) Department Managers

In the sector of statistical data management:
• Generalizing and analyzing various statistical data about students, resources, contracts, activities, and students' academic performance;
• Generalizing and analyzing statistical data regarding students' retention, expulsion, and academic leave from one course to another;
• Generalizing and analyzing statistical data about students recommended for transfer and reinstatement;
• Preparing statistical data regarding the activities of higher education institutions based on assignments and requests;
• Maintaining report forms submitted by higher education institutions to the Statistical Agency;
• Creating a general database about graduates;
• Collecting, generalizing, and analyzing data on graduates' employment and monitoring their job placement;
• Analyzing the accuracy of statistical data entered into the "HEMIS" information system;
• The staff of other units within the OTT structure should assist and cooperate with the managers of the statistical data management sector to collect, generalize, and process requested data.

In the sector of educational process coordination:
• Forming academic groups;
• Organizing re-education for students (creating subject groups, timetables, and control schedules, reviewing applications);
• Assigning students to the corresponding subjects;
• Entering students into the system and assigning them to appropriate groups;
• Assigning groups to tutors;
• Assigning subjects from the curriculum to respective semesters;
• Registering admitted students in the electronic system and assigning them to subjects;
• Coordinating and formalizing the movement of students (expulsion from the student body, retention in the course, transfer, academic leave, and reinstatement);
• Transferring students from one course to another;
• Generalizing and analyzing students' performance indicators;
• Creating and updating student databases;
• Officially processing graduates in accordance with the regulations;
• Monitoring students' attendance through the "HEMIS" system, obtaining daily attendance reports, and monitoring attendance by subjects;
• Creating class schedules and current, intermediate, and final control schedules in the "HEMIS" information system.

In the sector of student document management and storage:
• Collecting and compiling documents of students who have completed their higher education, binding them into volumes, registering them, and preserving them until they are archived;
• Placing copies of orders regarding students who have changed their surname, gone on academic leave, changed their direction and faculty, been retained in their course, or expelled, into the student database;
• Delivering all necessary documents to students who have been expelled due to transferring to another higher education institution;
• Regularly interacting with organizations and institutions through platforms such as
https://OTT.mehnat.uz and http://d-arxiv.edu.uz to confirm the authenticity of diplomas issued to graduates and responding to requests for issuing duplicates of lost diplomas and appendices.
